Our Approach: A Seven-Step Process

BeyondReviewFramework

BeyondReview’s seven-step approach to data reduction and review enables clients to experience powerful reduction, precision review and extraordinary speed in their legal discovery efforts.

Throughout the process the volume of documents is substantially reduced by successively applying visual classification and related technology to the collection.

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%
  • After #2, Grouping & Further Deduplication47%
  • After #3, Assess Groups14%
  • After #4, Apply Concepts6%
  • After #6, Substantive Review3%
  • #7, Production3%

The first step in the approach, data collection, provides forensically sound collection and initial processing.

Step 1: Collect

Data Collection provides forensically sound collection and initial data processing.

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%

During this step, BeyondReview technicians guide clients through a technology-centric process that provides for forensically sound collection with initial data processing.

  • Prepare Collector Script

  • Deploy Collector

  • Initial Hashing, Deduplication and Enhanced deNISTing

  • Cull to Single Instance Files

  • Retrieve Collector

  • Upload Collected Data into BeyondRecognition Servers

This step is conducted at no additional cost to clients and typically results in an initial data reduction of up to 55%.

Once completed, the next step in the process is Visually Grouping documents.

Step 2: Visually Group

Visual Grouping approach completes processing and groups visually-similar documents.

VisualGrouping

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%
  • After #2, Grouping & Further Deduplication47%

During this step, BeyondReview technicians leverage BeyondRecognition technology to process and visually group similar documents. This step includes:

  • Hash Deduplication and Advanced deNISTing against Multiple Collections

  • BeyondRecognition Visual Deduplication

  • ESI Segmentation

  • Formation of Visually Similar Groups

This step results in the complete processing of collected data, a significant reduction in data to be reviewed and an unconstrained view of remaining documents.

Once completed, the next step in the process is determining group level relevance.

Step 3: Assess Groups

Assessing the potential relevance of document groups enables attorneys to categorize groups for further action.

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%
  • After #2, Grouping & Further Deduplication47%
  • After #3, Assess Groups14%

During this step, BeyondReview attorneys classify documents into categories, e.g. Potentially Relevant, Not Relevant and To Be Determined. This step includes:

  • Expert Review Attorneys Evaluate Groups

  • Review a Few Documents per Group

  • Email Assessment Begins as Documents Attached to Emails are Assessed During this Step

This step integrates client knowledge and expertise in the decision making process and results in preparation of documents for further evaluation and the application of concepts.

Step 4: Apply Concepts

Applying Concepts enables review attorneys to determine potential relevance of documents within groups requiring further review.

ApplyConcepts

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%
  • After #2, Grouping & Further Deduplication47%
  • After #3, Assess Groups14%
  • After #4, Apply Concepts6%

During this step, BeyondReview attorneys apply key word concepts across the universe of documents. This step includes using the BeyondRecognition Find Engine to:

  • Isolate the document within the categories (i.e. potentially relevant and to be determined) that will require further review.

  • Isolate documents in the not relevant groups for quality control review.

This step results in the preparation of documents for evaluation of sensitive data.

Step 5: Evaluate Sensitive Data

Sensitive Data Evaluation enables attorneys to identify and consider sensitive data prior to substantive review.

During this step, BeyondReview attorneys evaluate sensitive data, e.g. documents to be redacted.

Any needed redactions can be expedited using BeyondRedaction technology that redacts based on either word or pattern matching or on redacting certain zones within groupings of visually-similar documents.

This step includes the evaluation of:

  • Personally Identifiable Information (PII)

  • Privilege Documents

  • Redactions

  • Trade Secrets

This step results in defensible and quantifiable results in the preparation of documents for substantive review.

Step 6: Substantive Review

Substantive Review enables attorneys to review potentially relevant documents on the review platform of choice.

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%
  • After #2, Grouping & Further Deduplication47%
  • After #3, Assess Groups14%
  • After #4, Apply Concepts6%
  • After #6, Substantive Review3%

Substantive review enables attorneys to begin reviewing the potentially relevant and to be determined documents isolated during step 4.

The visually similar document groups are maintained and exported to the review platform. This enables consistency and speed efficiencies.

This step results in completion of the substantive review and preparation of appropriate documents for production.

Step 7: Document Production

Document Production enables attorneys to produce appropriate documents as required.

BRFinalProduction

  • Files to be Examined100%
  • After #1, Remove System Files & Duplicates55%
  • After #2, Grouping & Further Deduplication47%
  • After #3, Assess Groups14%
  • After #4, Apply Concepts6%
  • After #6, Substantive Review3%
  • #7, Production3%

During this step, BeyondReview can produce documents to support audit, investigation or litigation requirements. This step allows clients to:

  • Produce Documents in Virtually Any Desired Format

  • Reduplicate as Required to Produce All Original Responsive Documents

This step is typically the final step in the BeyondReview approach to data reduction and review.
